Property/Administration Assistant

Open to: All Vietnamese citizens meeting the basic requirements.
Location: Canadian Embassy, 31 Hung Vuong, Hanoi, Vietnam
Closing date: April 11th, 2011, noon.
Starting date: May 16th, 2011 
Level and Salary: 37.5 hour work week, based salary at level 6-1 plus comprehensive benefits package.

Note:  This is a permanent position with a probation period of one year. The eligibility list from this competition may be used for openings at the same or at a lower level that may become available at the Embassy.

Job Description:
Under the direction of the Head of Administration,  plan and administer services related to the procurement and maintenance of the Mission's staff quarters and chancery; plan and administer activities related to interior decoration of staff quarters, and the supply and maintenance of required furnishings, equipment and appliances; maintain contact with local real estate and construction industries, negotiate lease renewals and repair and maintenance contracts, and provide consultative services in respect to purchasing; supervise five locally-engaged staff; prepare the annual estimates and budget input for operations and maintenance requirements; liaise with the local government concerning the application and administration of diplomatic privileges and other issues; manage and oversee the customs clearance procedures at the mission; provide back-up Consular services when the Consular Officer is absent and perform other duties.

Statement of Qualifications:
    
Basic requirements:
- University degree in Administrative or Financial Management or equivalent experience.
- Knowledge of contracting, bidding, financial and budgeting.
- Fluent in English (oral and written) and must be able to translate documents such as diplomatic notes. Knowledge of French is an asset.
- Excellent knowledge of office and correspondence procedures and of standard computer software (Microsoft Office suite and Outlook).
- Five years work experience, preferably in a diplomatic mission or international organizations.

Personal suitability:

- Organized, accurate in his/her work, able to prioritize tasks and to manage a variety of responsibilities.
- Initiative, flexibility, adaptability, excellent interpersonal skills.
- Ability to work under pressure and independently.
