APPOINTMENT:        Position is contingent on receipt of grant and is renewable each year dependent on funding.

GENERAL NATURE OF POSITION:

The purpose of this position (Project Assistant) is to act as the Project Assistant (50% time) for the Vietnam Social Work Education Enhancement program (SWEEP). The objectives of SWEEP are to (1) improve administration and management for Vietnam programs of social work at partner universities, (2) create programs and activities to enhance faculty development for faculty in Vietnam programs of social work at partner universities, and (3) assist partner universities to transform social work curricula to competency-based curricula, consistent with international standards. The Program Assistant will work 50% time with the project team on all aspects of the program including the creation of data bases and spreadsheets to track project information, assisting with travel arrangements, visas, and itineraries for U.S. project staff and visiting Vietnamese faculty and administrators; plan events and assist with presentation preparation; assist in writing project reports, prepare cost share reports, and other duties as assigned.

ESSENTIAL DUTIES & RESPONSIBILITIES:

1.Operational Tasks

  • Assists the operational needs of the SWEEP office,
  • Organizes workgroups and meetings when necessary,
  • Utilizes systems and forms to track data i.e., cost share, outcomes and evaluation indicators, budget and travel forms,
  • Prepares PowerPoint presentations,
  • Translate project documents and interpret in project meetings when necessary
  • Designs flyers, PR materials,
  • Makes travel arrangements, obtain visas, and prepare itineraries for US project team and for visiting professors and administrators from Vietnam,
  • Prepares quarterly cost share reports and  assisting preparing other project reports
  • Plans events and assist with presentation preparation,
  • Reconcile receipts of spending in Vietnam and work with the Project Assistant in the US in some financial tasks
  • Assists the Vietnam Project Coordinator, Assistant Coordinator and project team with special projects as necessary.
  • Working with SWEEP team both in the US and in Vietnam, including 8 SWEEP partner university coordinators as necessary

2.Technological Support

  • Identifies, implements, and maintains up-to-date electronic software programs,
  • Evaluates and recommends new technological changes,
  • Identify new technology to assist project tasks

3.Administrative Support

  • Serves as administrative support to the SWEEP Coordinator and SWEEP Assistant Coordinator

QUALIFICATIONS:

1)Education and Experience

  • Minimum requirement is Bachelor’s degree plus work experience on similar projects
  • Knowledge about social work or social sciences and experience in working with governmental agencies are preferred.

2)Knowledge, Skills and Abilities required

  • Bilingual in English/Vietnamese
  • Must possess good oral and written communication skills in English and Vietnamese.
  • Good interpersonal skills.
  • Excellent knowledge of MS Word, Excel, and PowerPoint
  • Ability to maintain confidentiality and appropriately handle sensitive communications with employees and external agencies.Ability to learn new technology systems quickly

3)Environmental Conditions

  • Must be able to operate general office equipment.
  • Visual acuity associated with concentrated computer use.

4)Complexity of Duties

  • Works with systems of a complex nature.
  • Day to day tasks require focused attention for long periods of time.
  • Data input, creating databases, spreadsheets and reports will require significant interaction with computers.
  • Multi-tasking is expected.
  • Requires ability to work independently, with some supervision.
  • Require flexibility in time and availability
