JOB ANNOUNCEMENT – PROJECT ASSISTANT

The University of North Carolina in Vietnam is a research organization of the University of North Carlina at Chapel Hill, USA. Our missions are conducting clinical research on new treatment methods for HIV prevention, TB treatment, mental health in both treatment and behavior changes for people living with HIV, TB patients, men who have sex with men and people who inject drug. Our partners are Hanoi Medical University, Hospitals in Hanoi, Provincial CDCs nationwide. We are conducting clinical trials of the HIV/AIDS Prevention Trial Network (HPTN) and AIDS Clinical Trial Group (ACTG). In order to expand our operations, we are now seeking a talented and dedicated individual to join our team.

Position:          Project Assistant

                        Full-time, based in Hanoi

Report to:        Study Coordinator

Position Summary:

Duties & Responsibilities:

1. Administrative support 

  • Assist the organization of meetings, trainings, workshops and other related events during study implementation, including: venue coordination, invitations, participation confirmation, travel and accommodation arrangements, supplies and materials, equipment hire; and prepare payment documents to submit to finance department to process payment to event suppliers.
  • Logistical preparation for field activities, including travel and accommodation arrangements, advance request and prepare payment documents to submit to finance department to process payment
  • Assist study team in preparing and sending official letters/documents to relevant stakeholders.
  • Assist study team with systematically filing study documents.
  • Translate documents from Vietnamese to English and vice versa per requests. 

2. Regulatory

  • Assist study coordinator and regulatory team to prepare IRB submission packages
  • Check inform consents, regulatory documents
  • Keep regulatory documents of the studies

Required qualifications and skills:

  • BA in public adminitration, public health, development, foreign language, or equivalent experience in relevant fields
  • Minimum of 5-year relevant experience in project administration.
  • Experience working in an international NGO, multilateral agency, or donor context preferred
  • Good problem solving, analytical mind, compliance, negotiating and presentation skills
  • Strong time management skills with a proven ability to meet deadlines
  • Detail-oriented, well-organized and honest
  • High sense of responsibility in confidential matters
  • Be able and open to learn new knowledge
  • Fluent spoken and written English
  • Good computer and MS Office skills
