The Partnership for Health Advancement in Vietnam (HAIVN) is a project of Beth Israel Deaconess Medical Center (BIDMC) with Brigham and Women’s Hospital and Harvard Medical School. Our team brings clinical and technical backgrounds toward achieving health equity.

Manager, Operations and Partnerships

HAIVN is seeking an experienced operations professional based in Hanoi to oversee HAIVN’s administrative and project support team. This person will be responsible for leading human resources, financial, and communications team members and building relationships with government counterparts to ensure HAIVN is compliant with legal requirements and labor laws. We seek someone with a background in human resources, finance, or general office operations with demonstrated experience supervising a diverse team with different skillsets. Reporting to the Country Director, this person will support organization-wide initiatives and be committed to diversity, equity, and inclusion.

Job Location: This position will be based in Hanoi with travel to Ho Chi Minh City as required to support our second office there.

Specific Responsibilities:

Administrative

  • Oversee the employee lifecycle, from recruitment and onboarding to exit interviews and offboarding
  • Ensure employee timesheets and reimbursement requests are completed accurately
  • Quickly become an expert in BIDMC policy and ensure HAIVN procedures are compliant with internal policy and grant regulations
  • Oversee employee annual review processes, staff professional development, payroll processing, and benefits administration
  • Ability to provide management and procedural trainings to internal staff on an ad hoc basis

Office Operations

  • Act as subject matter expert on government laws and regulations HAIVN needs to follow
  • Lead and track procedures related to project approvals, visas, and office licensing
  • Maintain office operations in compliance with procedures and regulations
  • Procure and track office equipment in compliance with grant regulations,

Team Management

  • Supervise and lead the administrative and project support team
  • Familiarize with processes and procedures related to communications, HR, and finance
  • Troubleshoot and solve bottlenecks and issues related to operations
  • Support the implementation of organization-wide initiatives, such as brown bag lunches

Partnerships

  • Support the Country Director to build and maintain solid and trusting relationships with Government of Viet Nam and Vietnamese institutional partners
  • Advocate for HAIVN’s work at all levels of the Vietnamese government

Required Experience

  • Bachelors Degree in business administration, HR, Finance, or related field
  • Master’s degree desired but not required
  • At least 10 years of experience in a related field, and at least 5 years of experience with staff management
  • Experience working for a non-profit organization

Required Qualifications

  • Fluency in Vietnamese and English including reading, speaking and writing
  • Ability to provide mentoring and coaching to internal staff and managers
  • Ability to write documents such as operating procedures and project trackers
  • Able to work effectively in a complex international environment
  • Well-organized and able to handle multiple tasks and changing priorities
  • Good computer and information technology skills
  • Good interpersonal, communication, and presentation skills
  • Able to work both independently and as team member; able to work under pressure
  • Passionate about empowering community and improving the lives of underserved populations

Position Type: Full-Time; ability to travel up to 10% of the time
