IT Consultant

1. Background
AAV 's IT officer resigned from post as of July 31, 2012. Recruitment for the replacement is in process. To ensure the smooth operation of the office during the recruitment, AAV will get the consultancy service, from 1 Aug to 30 Sep 2012. The Consultant will work under supervisor of HoFA and distant support from IT Coordinator, Asia.

2. Purpose of consultancy
To ensure the smooth running of IT system in AAV’s office

3. Objectives
Maintain a good IT system and office operation

4. Expected outputs
- Quality IT system is maintained during the time of consultancy
- Handing over with leaving IT Officer is done smoothly
- Cooperation and work under technical supervision of Asia IT Coordinator is conducted in line with AAI's policy on IT management.
- Handing over with coming IT Officer is done smoothly

5. Methodology
Under the technical supervision of AAI Asia IT Coordinator, IT consultant is to provide a smooth daily physical IT service and support to ensure AAV's operation, with possibility that distant support to AAV’s offices in Central Programme and Southern Programme Regional Offices may be required.

6. Work setting
IT Consultant is based in AAV Ha Noi head office

7. Duration of consultancy
Commencement date: 1 August 2012
Completion date: 30 September 2012
Duration of consultancy assignment: 5 half days per week or as per urgent request
 (Half day = 4 hours)
Rate: $25 per half day, including PIT

8. Detailed tasks and work plan
The IT consultant will work under direct supervision of the HoFA on daily basis, with technical supervision by the AAI Asia IT Coordinator. While working in AAV head office, the IT Consultant will fully comply with all the requirements by AAV's policies and procedures on office working hours, communication and behaviours, confidentiality.

The IT Consultant will deliver the following:

i)ActionAid Local Area Network/Wide Area Network.
- Attending calls as per designed system
- Ensure prompt resolution of all problems encountered by AAV staff
- Maintaining record of all calls attended for all of the above areas
- Reporting unresolved/critical problems to the concern management.

ii)Maintaining the Internet and mail system
- Assist in keeping maximum connectivity for communication through emails and    internet.
- Maintaining and up running of  internet and email system
- Maintaining of the antivirus and Patches management.

iii)Support for Software Problems
- Logging all the problems according to the logging system.
- Archiving the problems on a monthly basis and producing a monthly report
- Ensuring prompt resolution of ALL software problems encountered by Staff
- Notifying in case any SW/HW problem cannot be resolved immediately

iv)Maintaining ALL Software and Hardware (IT Related Equipment)
- Maintaining a movement chart of all IT related equipment as well as issuance of the  Equipment
- Ensuring cleanliness maintenance of all IT related equipment by undertaking weekly checks Test for Effectiveness of Training

v)Maintaining the Data server (followed by file service policy)
- Ensure data server will be available for all users with out any problem
- Configuration & maintenance of the Data server.
- Taking All organizational Data Backup on daily basis and changing the tapes accordingly.

vi)Providing IT assistance in meetings/seminars and trainings
- Providing Assistance during the Meetings/seminars and training for smooth running of the multimedia, camera computers etc.

vii)Daily Helpdesk support to users and partners
- Providing day to day troubleshooting support to country office and programme offices in central and southern programme, as required.
- Help support users for carrying out day to day task and provide technical support if required
- Provide technical support for procurement of IT equipment

viii)Open bio-finger print access for new staff/visitors to AAV at the request of AAV's HROD department
- At the request in writing by the HROD department, IT consultant will help open the bio-finger print for new staff/visitors to AAV.
- Ensure all passwords and access at of confidentiality.

9. Required qualifications of the Consultant

Education (Degrees/certificates required)
- University degree in IT, computing science or relevant field

Work experience
- At least 3 years experience in working as network administrator/IT Officer
- Good command in English
