Your Role

Being Administrative Officer in Vietnam, your day will be primarily focused on:

  • Coordination of all activities enabling healthy financial management from budget development and update, financial reports, expenses reporting and operating fund request, cost planification and reconciliation, vendors and invoices management, assets requests, support HQ queries and audit compliance, petty cash transactions and tracking;
  • Liaison for all Human Resources related matters, from global initiatives implementation in country, HR community networking, payroll, benefits and statutory employment activities, employee records maintenance, recruitment and employee lifecycle coordination, develop and monitor policies, information systems and processes. Grow a regenerative culture for staff;
  • Earthworm licensing and registration requirements to operate in Vietnam;
  • Management of all business office activities such as mail processing, document filing, telephone answering and stationery supplies ordering. Business travel arrangements;
  • Health & Safety coordination, facility management (service providers, building related issues);
  • Support to the line manager with team administration (holiday requests, annual calendar, timesheets, social and business events, internal communications).

Being rigorous with a strong ability to independently prioritize your work in a changing environment you appreciate the value of having shared processes in place across the organization to rely on. Thanks to your past working experience you developed an excellent proficiency in Microsoft Office and a good sense of timelines, deliverables as well as an appetite for continuous improvement logic. Naturally self-disciplined, attentive to detail, with a service-oriented mindset, transparent communication and deep integrity, you are a great facilitator and trusted partner for your manager and co-workers.

You show curiosity and a desire to learn and understand our actual work and various project you navigate your way through interpersonal tensions with empathy though eventually taking a clear position and defining a way forward in your field of responsibilities.

Working Conditions

  • Bachelor Degree in in relevant field
  • 2 years minimum experience
  • Part-time (20 hours/ week, 50%)
  • Long Fixed-Term contract (1year, renewable)
  • Based in Hanoi office and occasionally remotely
  • Citizenship or legal permission to work in the country
  • Fluent in Vietnamese & English
