Employment Opportunity for an Operations Officer
To be based in Ho Chi Minh City:

Major Duties: Under the overall guidance of the Chief of Mission IOM Viet Nam and the direct supervision of the Head of Office (HoO) in HCMC, the incumbent will be responsible and accountable for providing assistance in the implementation and monitoring of IOM operational activities at the Mission.

- Assist the HoO in the coordination and administration of the operational, aspects of the project/programme, including cooperation with project/programme partners, such as governmental authorities, diplomatic missions, and any other concerned agencies and working groups;

- Compile general background information from different sources to develop new proposals and initiatives to promote stakeholder partnership. Design and draft supporting flow charts, schedules, graphs and tables, coordinate the collection and verification of documents, edit data required for planning and negotiation as required;

- Provide assistance in drafting regular project/programme reports according to IOM and donor formats whenever required;

- Assist in drafting official communications. Provide editorial assistance to IOM HCMC staff in their oral and written communication with external parties;

- Arrange briefings, tours and other related activities for visitors, missions and other relevant stakeholders; undertake TDY as requested;

- Keep staff aware of corporate ID and provide functional examples of various documents to maintain use of corporate ID; 

- Assists the HoO with the oversight over the Visa Application Centres operated by IOM Ho Chi Minh City and make recommendations for improvement as needed;

- Draw up and maintain related Business Continuity Plan, Risk Management Strategy and Disaster Recovery Plan and emergency drills as required for all IOM offices in Vietnam;

- Draft answers/address questions or complaints from customers and partners and aid with internal investigations, where requested;

- Assist the HoO in HCMC in developing and maintaining liaison with donors, partners and other officials of diplomatic missions and arrange various subject briefings for HoO. Support the HoO to strengthen external relations and fundraising activities;

- Perform such other duties as may be assigned.

Education/Experience Required:

- University degree, preferably in Political or Social Science, Business Administration, International Relations and/or Law, or an equivalent combination of training and experience; 

- One year of work experience on migration issues, as well as experience on project design and implementation;

- Good writing and communication skills. Good analytical and organizational skills. Personal commitment, drive for results, efficiency, flexibility, respect for diversity. Ability to work effectively and harmoniously in a team and with colleagues from varied cultures and professional backgrounds;

- English mother tongue; Working knowledge of the Vietnamese language an advantage.
