National Consultant to Provide Administrative Support to UN Women Programme/Projects

UN Women Office in Vietnam is looking for a qualified national consultant to provide administrative support to UN Women programme/projects.

Under the overall guidance of the Programme Specialist, the national consultant will work closely with the Programme Specialist and Programme Associates/Assistants to provide the following services:  

  • Support in travel arrangements for programme personnel and meeting participants such as ticket reservation, preparation of DSA calculation and travel claims (50 days).  
  • Assist in organizing and provide logistics and administrative support to UN Women’s events such as meetings and workshops.
  • The task particularly includes sending out invitations, getting confirmations, taking notes, translating requested documents, registration, reserving services and working with service providers and provide other logistic arrangements (30 days). 
  • Maintain programme filling systems in both hard filing and electronic filling in an appropriate way (18 days). 
  • Prepare and collect documents for payments related to project implementation (20 days).  
  • Undertake other administrative support to programme implementation as assigned by Programme Specialist and Programme Associates (10 days). 

Period: From 1 May 2021 to 31 December 2021 in the UN Building, 304 Kim Ma, Hanoi, Viet Nam. The consultant is expected to be present at the UN Women Viet Nam Office 16 days per month and a maximum of 128 working days.

QUALIFICATIONS : 

Education: Bachelor’s degree in Linguistics, Development Studies or related fields required. 

Required experience and skills:  

  1. At least two-year of professional experience in office and project administrative support, preferred with INGO or international entities in Viet Nam. 
  2. Proven in-depth understanding of programme/project administration 
  3. Experience and knowledge of the UN system is an asset. 
  4. Fluent verbal and written English skills. 
  5. Good time management and organizational skills (able to meet tight deadlines and handling multiple tasks). 
  6. Sound interpersonal and communication skills with computer literacy.
