Children of Vietnam (COV) is a 501(c)(3) charity organization licensed as an international non-governmental organization in Vietnam and the US.

Children of Vietnam was established in 1998 to end child poverty. We accomplished this by providing wraparound services that focus on one child, one family, and one community at a time.

Position Overview:

An Administrative and Communication Officer plays a pivotal role in ensuring smooth administrative operations in the US and VN offices while also contributing to effective communication strategies.

This position involves working closely with program managers, program coordinators, program assistants in both US and VN offices, community partners, and stakeholders to ensure the successful implementation of initiatives aligned with COV's mission.

Key Responsibilities:

1. Administrative Support:

  • Provide comprehensive administrative support to the US and VN teams, including managing schedules, coordinating meetings, and handling travel arrangements.
  • Maintain organized and up-to-date filing systems for important documents and records for US and VN offices.
  • Assist in preparing reports, presentations, and other documentation as required.
  • Handle general office tasks such as answering phones, managing emails, and responding to inquiries.
  • Utilize Salesforce CRM and I-contact to input and maintain donor data.
  • Analyze data in Salesforce to generate reports and provide insights for decision-making.

2. Communication and Outreach:

  • Develop and implement communication strategies to enhance the organization's public image.
  • Draft and edit press releases, newsletters, and other communication materials.
  • Manage social media accounts (e.g., Facebook, Twitter, LinkedIn, Instagram) and assist in developing engaging content for online platforms to increase brand visibility and engagement.
  • Coordinate with various departments to gather information and create internal and external communication materials.
  • Act as a liaison between the organization and external stakeholders, ensuring clear and effective communication.

3. Event Coordination:

  • Plan and coordinate internal and external events, including meetings, workshops, and conferences.
  • Assist in organizing community outreach programs and promotional events.

4. Collaboration:

  • Work closely with team members and other departments to ensure effective communication and collaboration.
  • Collaborate with external partners and vendors to support organizational objectives.

5. Qualifications and Requirements:

  • Bachelor's degree in relevant fields (e.g., International Development, Social Sciences, Social Works, Communication, Marketing...).
  • Minimum of 3 years of experience in the non-profit and social sectors, particularly in education, women and child-focused initiatives.
  • Understand child rights, education, health, and community development.
  • Ability to work collaboratively in a cross-cultural environment. Willingness and ability to work flexibly, including attending early morning and evening events.
  • Proficient in program management tools, design tools (Photoshop, Canva,...), and Microsoft Office Suite.
  • Strong communication and interpersonal skills.
  • Fluency in English.
  • Strong knowledge of Vietnamese culture, history, and social political context.
  • Strong organizational and multitasking skills.
  • Commitment to the mission and values of Children of Vietnam.
