Position: Receptionist and Administrative Assistant
Reports to: CECI’s financier officer
Duty Station: Hanoi, Vietnam
Job Function: To provide reception and administrative services for the CECI/WUSC office in Hanoi.
Duties:
Reception:
- Open and close of office during normal working hours
- Receive visitors, answer the telephone, manage the general CECI and WUSC's email address, send and receive faxes, distribute mail, arrange postage and couriers, manage the attendance board, and staff mail boxes.
Administrative Support:
- Maintain general filing systems
- Organize meetings and appointments for office staff
- Make travel arrangements for office staff and visitors (air ticket, hotel booking...)
- Manage petty cash account
- Maintain and purchase stationary and equipment for central office
- Organize the maintenance and repair of the building and office equipment
- Liaise with computer and IT consultants and companies
- Trouble shooting for office staff computer issues and maintain a regular backup system for server and outlook files
- Translation when required
- Maintain library and documentation centre
- Check newspapers daily and distribute relevant information to managers
- Provide other administrative support when needed and approved by supervisor.
Qualifications and Experience required:
- University degree. English or Administration degree is preferable
- At least 2-3 years experience in reception and/or administrative support
- Good in English writing, speaking and listening
- Good in time management skills
- Familiar with Word, Excel, Outlook Express, Power point
- Able to work independently and also in a team
- Honest and trustworthy
- Good people skills.

Remuneration will be determined by candidates experience and qualifications, but should fall within the range of USD 4,500 and USD 6,500 gross annual salary.
