Overall Responsibilities

Under the overall management of the Program Manager, Project Assitant intern shall be responsible for supporting in project administration, financial management, logistic arrangement, reporting, and other project assistance works as supervised and assigned by the Project Manager or/and Program Manager.

Key tasks and responsibilities

The intern will participate in cooperated projects’ tasks between Kenan and Kenan’s strategic partner, including but not limited to:

1.    Communication assistance work

• Draft project correspondence documents as needed
• Provide assistance to the process of design and production of communication promotional tools/products (project documents templates, standee, banners, backdrops, T-shirt…)
• Undertake online works related to the website/FB of the workshop after approved plan

2.    Project implementation work

• Recruitment process: Undertake collecting and screening applications; filing candidates/successful applicants’ profiles
• Pre-workshop preparation and mentoring: Engage in facilitating and managing the online interactions /sharing of the workshop’s successful candidates at each province (through FB/Zalo groups)
• Workshop implementation: Provide logistic arrangement; collecting and checking all kind of vouchers/receipts/IDs provided by relevant stakeholders
• Post workshop mentoring and monitoring: Undertake data collection and processing of the pre-post tests and satisfaction survey after each workshop; Assist in drafting workshop/training reports and others as needed.

3.    Administrative assistance work

• Conduct information research as required
• Translate project documents and other required procedures from English - Vietnamese – English
• Undertake photocopy and printing works including project documents, training materials...
• Undertake logistic arrangements (search and contact service providers for their design/quotation collection for approvals, screening/selection, booking & reservation....) in line with the Kenan policies.

4.    Administrative financial assistance work

• Collect and prepare all financial supporting documents such as receipts, IDs, attendant sheets...
• Prepare procedures and draft contract with vendors for approvals
  

Indicators

• 100% works assigned are accomplished in a timely manner and with high quality according to the approved plan.
• The work processing and/or peforming progress is stricly compliant to the Kenan’s regulations.
• All of information related to the project is kept confidential.
