NATURE OF WORK:
The Full Time Administrative/ Finance Intern will perform a supportive role in covering Administrative/ Finance needs of the office.
Report directly to: Administrative/Finance Officer, Vietnam
MAJOR TASKS AND ACTIVITIES:
Assist Admin/Finance Officer in the following tasks:
1. Administration tasks
- Meet and greet guests to the office and answer telephone calls;
- Make logistic arrangements for lodging, transpiration, workshops/conferences, and for other project and operational activities of the office;
- Ensure efficient filing, tracking and storing system of documents;
- Purchase and maintain office equipment and supplies with appropriate services and venders. Research and identify competitive suppliers for project related equipment and supplies;
2. Finance tasks:
- Manage petty cash
- Enter Financial data into Financial Software
- Support with monthly Finance Report to HQ
- Support with checking financial documents and making payments
3. Human resource
- Support with PIT and Insurance Issues
- Support with recruitment
4. Program related tasks
- Translate office and project related documents (English and Vietnamese);
- Assist Country representative and Eye Health Program Coordinator in program management activities when required
Other tasks may be included to assist Administrative/Finance Officer to ensure smooth running of the office and the project.
DURATION:
6 months, as soon as possible ( preferred starting 1st April 2013)
SKILLS/KNOWLEDGE REQUIRED:
- University graduate;
- Excellent command of Vietnamese (speaking and writing);
- Good knowledge of English (speaking and writing) and able to translate documents (English-Vietnamese);
- Good literacy with major computer applications;
- Working experience with international organizations or NGO(s) preferable.
