SODI (Solidarity Service International) is a German non-profit organization working on humanitarian UXO clearance and integrated development in Vietnam since 1998 in Thua Thien Hue and Quang Tri province. We are looking for qualified candidates to fulfill the following position: Administration, Logistic and Finance Officer Sub-Office Hue.
Responsibilities:
- Ensuring that logistic needs (such as equipment, repairing and technical needs) for the Hue project are met.
- Cooperation with SODI leading staff in securing, controlling and maintaining the Hue project equipment.
- Correct and timely logistic reports and documentation of the different project teams.
- Manage the file system and maintain it by ensuring that there is a master subject file and a master chronological file in the Hue Office.
- Manage the Hue monthly staff attendance reporting.
- To maintain accurate staff lists for Hue project.
- To manage and maintain security arrangements for all SODI Hue facilities.
- To conduct procurements according to SODI regulations.
- To manage and conduct weekly maintenance checks, inventory and stock take of the SODI Hue equipment.
- To manage and control Hue vehicle reporting.
- To manage the SODI Hue stores.
- To manage financial, accounting and administrative procedures in the Hue sub-office.
- The Administration, Logistic and Finance Officer Hue reports to the Program Finance Officer in regards to finance and is responsible for preparing financial statements and maintaining cash control.
- To ensure that all cash transactions are recorded in the Petty Cash book without delay.
- To ensure that all cash transactions are recorded with petty cash voucher without delay and that no payments are being conducted without prior written approval by the Project Manager or Program Manager.
- The Administration, Logistic and Finance Officer Hue reports to the Program Finance Officer in regards to finance.
- The Administration, Logistic and Finance Officer Hue reports to the Project Manager in regards operations, office and all other matters.
- To strictly follow all SODI finance and other regulations.
Desired qualifications:
- Relevant higher education.
- Accounting certificate.
- Good command of Microsoft Office (Word, Excel & Power point), is necessary.
- Experience working with administration and logistics is necessary.
- Good communication and interpersonal skills with experience from interacting in project work is desired.
- Written and verbal proficiency in English is necessary.
These positions are 100% in addition to that there are requirements to travel and stay overnight occasionally. Working evenings is also required occasionally.
