Project Assistant

The British Embassy in Hanoi is part of a world-wide network of 230 Posts, representing British political, economic, trade and consular interests overseas. We are currently looking to recruit a Project Assistant to join our Return and Reintegration Fund (RRF) project team in Hanoi.

The Return and Reintegration Fund (RRF) finances projects that deliver the UK Government’s objectives in reducing illegal migration into the UK. It supports projects which help Vietnamese nationals who have no legal basis remaining in the UK so that they could return to Vietnam.

The successful candidate will help improve the quality and consistency in the project management of the Return and Reintegration Fund (RRF); making RRF funding a more effective tool in supporting our migration agenda.

Main Duties

- Coordinate project identification and submission of project bids for approval, including bids from NGOs and International Organisations; regular financial and progress reporting, and evaluation of projects under the supervision of the Migration Co-ordination Officer (MCO).
- Provide guidance on project management processes, forms, tools available and share best practices with implementers and beneficiaries, in support of effective project delivery.
- Ensure effective internal and external communication of RRF projects by working closely with stakeholders (UK Foreign and Commonwealth Office, Home Office, Ministry of Justice, etc), the Embassy Communications Team and individual project implementers.
- Purchase to Pay processing: requisitioning, receipting and housekeeping (training will be provided).
- Monthly reservation of funds, monthly update of the budget profile (inputs from implementer needed), chase invoices, check invoices in coordination with implementer, and make sure payments are made on time.
- Quality control of financial documents received from implementers, highlight irregularities to Migration Co-ordination Officer (MCO) and support MCO in dealing with the problems, including recommending solutions.
- Arrange logistics to support the smooth running of project activities, including supporting inward and outward visits, and organisation of project-funded public diplomacy events.
- Arrange meetings, including preparation of agendas and working documents.
- Undertake on-site project monitoring visits.
- Translation and Interpretation; verifying the quality of translation of project material.

Qualifications, Experience and Skills

- The role requires initiative and the ability to work with minimum supervision
- Strong communication and interpersonal skills
- Excellent written and spoken English
- Strong IT skills; proficient in MS Office applications
- Be able to work as part of a team
- Previous working experience in migration is desirable
- Fluency in spoken Chinese an advantage
