As a federal enterprise, the Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH supports the German Government in achieving its objectives in the field of international cooperation for sustainable development. On behalf of the German Government, GIZ currently provides advisory services to the Government of Viet Nam in three priority areas: Vocational training, Environmental policy and sustainable use of natural resources, and Energy. The “Regional Cooperation programme to Improve the training of Technical and Vocational Education and Training (TVET) personnel” (RECOTVET) aims to optimize the framework conditions for a generally improved and regionally integrated systems of education and further training of TVET personnel.

The programme works closely with relevant bilateral TVET programmes in ASEAN countries for the implementation.

The RECOTVET programme requires a qualified candidate for the following positions:

Junior Administrative Officer “RECOTVET”
Duty Station: Hanoi, Vietnam
Duration: Starting ASAP for 1 year contract with possible extension

Main responsibilities:

  • Overall smooth, uninterrupted functioning of the project office
  • Providing administrative services for the project, particularly in the areas of event management, contracting, procurement and accounting
  • Meeting the administrative needs of the office independently, with a minimum of intervention
  • All logistics around international and local events/workshops organisation
  • Support for events/ workshops/ trainings in and outside the country as required
  • Management of adequate project documentation as well as knowledge dissemination; including filing of documents in reference files or in DMS in line with GIZ’s filing rules
  • Maintenance of an overall good flow of communication and information in the project as well as an effective coordination with colleagues at the GIZ-Country Office and other GIZ offices.

Minimum requirements:

  • Bachelor degree or equivalent in a relevant discipline such as finance and accounting, business administration, public administration or legal studies;
  • 1-3 years of professional work experience in a relevant area, ideally in an international development organisation. Experience working with or for Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is an asset;
  • Strong experience in general administration and especially procurement and contracting;
  • Full proficiency in modern office IT applications (Microsoft Word, Excell, PowerPoint, Teams, etc.) is expected. Experience with specialised software (SAP, Mindmanager, etc.) is an asset;
  • Excellent English is a requirement; knowledge of German a strong asset;
  • Very good self- and time-management as well as communication skills are essential;
  • The applicant should be highly motivated, capable of working independently, open for new challenges yet accurate and reliable and willing to perform even under pressure and tight deadlines;
  • Willingness to travel nationally and internationally.
