Internship for Northern Programme - AAV

Position: Northern Program Intern

Supervisor: Reports directly to Acting Northern Program Coordinator

Key working relationship: All AAV staff and Partners

Working time: Intern is requested to work full time (7.5 hours per day, from Monday to Friday)

Contract duration:  6 months from June 1st – December 1st 2014 with possibility of extension

Duty station: AAV Hanoi office

Commencement date: As soon as possible

Allowance: Following the AAV’s cost norms

Budget codes: NR’s budget – Facilitator salary line

General Context

Founded in the United Kingdom in 1972, ActionAid (AAI) is a unique international organization, working with over 25 million people in more than 40 countries for a world free from poverty and injustice.

ActionAid started working in Vietnam since 1989, established its Representative Office in Hanoi in 1992. Since then, it has been focusing the work to end poverty and promote sustainable development in mountainous, remote and difficult regions as well as poor urban areas across Vietnam. ActionAid works in partnership with local partners in different provinces and applies Human Rights Based Approach to its entire works.

AAV is currently operating under the framework of its CSP V (2012 – 2017), focusing in five Program Priorities (PP), including: (1) Promote alternative livelihoods and sustainable agriculture; (2) Advance accountability and people-to-people solidarity for social change, increase youth leadership and civil society credibility; (3) Promote equal access to quality education for children; (4) Respond to disaster and climate change impacts with people-centered alternatives; (5) Build social and political alternatives for women and girls.

Northern program has 8 active LRP, 5 in remote and mountainous areas (LRP 14, 15, 8, 7 and 7A) while three others in urban areas (LRP 101, 11 and 20). Apart from five PPs that are currently being run at LRP level, there are a number of ongoing projects implementing at LRP 101, 20 (IA), EC 1 (LRP 14), EC 2 (LRP 8 and 7A), Benoy (LRP 8) and Ylepa (LRP 8 and 14)

To accelerate and provide administration support to regional program in general and to LRPs in particular, the program needs to recruit an intern to assist acting Northern Program Coordinator and Program Officers to well coordinate regional program

Key tasks

1.    Provide general support to the acting Northern Program Coordinator in the acting roles as Northern Program Facilitator.
These include but not limited to:

•    A good filing system of programme/project report and document is set up, maintained and updated
•    Contact database is set up, maintained and updated
•    Programme/project related reports are compiled and updated timely and properly
•    Requested programme/project documents and communication are translated in high quality and in a timely manner
•    Good quality interpretation is provided as needed
•    Meetings, travel, and other administrative tasks are efficiently planned and executed

2.    Provides assistance to the POs and Regional Programme Coordinator in programme/project activities.

•    Requirement for assistance is satisfied to ensure the good functioning of the programme/project
•    Logistic support for meeting arrangement, partner contacts, follow up actions
•    Translate related documents with quality and within deadline
•    Participate in and drafting minutes for some meeting as required

3. Other tasks as assigned by Line Manager

Qualification/ Capacity of the Intern

•    Highly motivated, undergraduate or recent graduate in good academic standing, background in development studies and/or English language would be preferred
•    Well communicating and writing in Vietnamese and English
•    Commitment to work in AAV, giving priority to those who have worked in AAV

Other benefits and Responsibilities

•    ActionAid International Vietnam will write reviews and acknowledge  after the collaboration period of the Intern with AAV  if s/he mets the requirements of AAV and at his/her request to apply to other organizations.
•    The Intern is responsible to follow all instructions of related AAV policies & procedures and ensure quality of work. The intern, who cannot meet the deadlines and quality requirements, can be responsible for compensation or be terminated by AAV within 5 working days of notice.
•    The Intern is required to keep all information and data of Northern Programme of Programme Department confidential and for internal use. If s/he discloses such information to a third party outside AAV, s/he will be responsible for that loss of intellectual property and his/her contract will be terminated immediately by AAV.
