International Female Volunteer Administrator

When Australian resident Andrew Souto first visited Vietnam in 2005 he saw a country struggling to develop its automotive repair industry and also witnessed the plight of street kids who come from rural areas to make money in the city to send home to their families.

As a qualified motor mechanic, Andrew decided the best way to help these kids was by sharing his skills. In 2008 with support from the Volunteer International Development Australian Program (VIDA) and Australian NGO Blue Dragon Children’s Foundation, Andrew established a motorbike rental and repair business like no other.

VIP Bikes is a not for profit Social Enterprise, meaning profits generated by the rental service are recycled back into the project. VIP Bikes’ mission is to create a high-quality training center in a supportive and caring environment for street kids and disadvantaged young people in Vietnam.

The Management Committee are developing two key new initiatives for the social enterprise:

   1. To develop a modular vocational training curriculum for trainees(high priority)
   2. To establish a residence for trainees. (low priority)

In order to support these developments VIP Bikes Social Enterprise is looking for an international female volunteer administrator. Support for the Officer will also be provided by Vietnamese Administrator or one member of the Management Committee.(as available)

Work place: VIP Bikes office

Working time: part-time

Key tasks
    * Set up and maintain data management systems (database) including; trainee records, residential administration records, register of ‘friends of VIP’, donor records, etc.
    * Establish and maintain regular communications with ‘friends of VIP Bikes’, for example, a regular newsletter, Facebook updates, etc.
    * Develop relationships with donors and supporters in order to raise funds for VIP Bikes Social Enterprise.
    * Maintain a simple accounting system – bookkeeping of income and expenses related to the social enterprise (training and residence).
    * Support the VIP Bikes Manager to co-ordinate the training for trainee mechanics.
    * Support the VIP Bikes Manager to coordinate the residential program for trainees.
    * Support the VIP Bikes Manager with correspondence related to the training and residence.

Skills and qualifications required
    * Have  experience working in a similar position (office manager, administration, accounting, etc)
    * Ability to communicate effectively with expatriates and other potential donors
    * Analytical skills to be able to develop plans and strategies
    * Basic understanding of accounting/bookkeeping
    * Self-starter, demonstrated ability to work independently.

Preferred:
- Knowledge of social enterprise in Vietnam
- Knowledge of issues related to street and disadvantaged youth

Work Environment

The Administration and development officer will be based in an office on the third floor VIP Bikes workshop. Initially, the officer will be the only staff member working out of this office, with the VIP Manager, mechanics and trainees downstairs in the workshop.
