Saigon Children’s Charity is committed to the education of disadvantaged children in Ho Chi Minh City and in a number of rural provinces in the South, Center and North of the country. We help by giving them an opportunity to approach adulthood with a good education, in good health and able to sustain themselves and their families.

Education is, we believe, the most lasting and effective way we can help children and their families to escape from the cycle of poverty and it represents a double investment – an investment in the children but also an investment in the future of Vietnam. SCC has built up a reputation as a strong and effective NGO.

SCC builds schools where there are none or only the most basic provision; we provide scholarships and support to individual children from kindergarten to vocational training and third tie education; we work with children with a disability and support the development of the local Vietnamese organisations that support them.

 

FUNDRAISING AND COMMUNICATIONS ASSISTANT

- JOB DESCRIPTION

Job Title:     Fundraising and Communications Assistant (FCA)

Reports to:     Head of Fundraising and Communications (HFC)

Supports to: HFC and Fundraising and Communications Managers (FCMs)   

 

Key role and responsibilities

The FCA is a member of Fundraising and Communications Department reporting to HFC. You will work in close harmony with the HFC, FCMs as well as other key SCC senior managers such as the Director, the Head of Programmes, Programme Managers. The post holder’s principle responsibilities include:

Fundraising:

  1. Provide supports to HFC and FCMs in developing and executing an annual Fundraising and Communications plan that includes

    1. Meeting agreed income and expenditure targets across all 4 Core Programmes

    2. Meeting standards of quality and performance for communication

    3. Controlling and managing all outsourced relationships

  2. Prepare Funding Agreements for donors and funding partners

  3. Initiate and execute sales activities online and offline in line with the overall annual Fundraising plan and strategy

Communications:

  1. Coordinate, develop writing contents and manage social media channel (FB, Linkedin, Twitter, Mailchimp, etc.) with approval from HFC

  2. Help to ensure the SCC social media channels is up to date and has required functionality for full social media integration

Events:

  1. Support to HFC for Events set up and Logistic

  2. Support to execute PR plan in consultation with HFC, FCMs for appointed event to maximize the publicity impacts of SCC for the benefits of our fundraising purposes

  3. Work with FCM to initiate and execute Challenge Days activities

Relationship Management

  1. Provide inputs in maintaining and developing Donors’ database

Others

Other tasks are required by the HFC, FCMs to fulfil department’s objectives

Person specification

This role would suit someone who is organised and also personable. The FCA must have an eye for detail. You will be working with a variety of business scales including major companies and Foundations and in some cases with people at a senior level in those organisations. These will be both in Vietnam and in other countries around the world.  You will therefore need to be confident and out-going.

Required:

  • Vietnamese national with a university degree

  • A minimum of one year of related working experience or proven track record of capabilities

  • Capabilities in Event management and execution with focus in details

  • Good verbal and good written communication skills (in both English and Vietnamese)

  • Proficiency in using Microsoft Office Tools  

  • Basic design skills (develop Infographic)

Core staff responsibilities

The FCA will work closely with other team members. We work as a team where responsibilities and work are shared across the team on a project by project basis and where we cover each other when needed, rather than being too precise about who does what. Developing relationships and networks with potential donors and with event participants is essential, as is ensuring events are delivered to SCC standards on deadline. There will therefore be a need for some weekend and evening work in this role.

Our current fundraising events that this post will involve include:

  • Saigon Cyclo Challenge – held in March every year this is a major corporate team building activity and an event of great expectation from public. It has now been running for 16 years. This event delivers great exposure while raising much needed income too.

  • In 2009 we launched our first ever SCC Summer Ball. This is held in June at a 5* hotel for around 300 guests. Managed primarily by volunteers this has quickly become a must-attend date in everyone’s diary.

  • We are also the beneficiary of events organised by other organisations so we need to talk to people to put our name in their minds and assist them as requested in organising their events.

  • Charity Cycle Adventure – introduced successfully in 2010 this event continues to develop further and we hope we may be able to offer more similar activities in the future.

  • 2017 will mark SCC’s 25th Anniversary and we are planning for a series of events including the above to celebrate this special occasion.

Volunteers

We are fortunate to have many volunteers who offer to help with everything from the Cyclo Challenge to updating the database. We are keen to ensure that they find their commitment not only useful and absorbing but positive too. Finding and working with them is an important function for the FCO. Policy and guidelines are in place to help manage this with the Head of Finance and Administration.

Internal relationships

As a key member of the SCC team you will also need to liaise closely with all of your colleagues, specifically:

1 Programme department

  • Liaise regularly with each programme manager to check latest project needs and developments

  • Remind and support each programme department with reporting and renewal proposals to donors and sponsors on time.

2 Admin & Finance department

  • Sales ordering and invoicing

  • Following-up income

  • Co-operating to chase bad debts
