INTRODUCTION

The Golden West Humanitarian Foundation is a United States based, non-profit charity dedicated to the development of innovative, appropriate technologies to overcome the operational limitations encountered by the humanitarian mine action community. Since 1998, the Foundation has addressed critical shortfalls in heavily mine and UXO-impacted countries across the globe. Each year we have built on our innovative work from the past, uncovering and addressing the challenges that hinder clearance efforts. In 2006, GWHF expanded to Vietnam and since then, has been providing technical support in UXO clearance and MRE for children. In 2014, a new Children’s Education Division project opened in Quang Binh province. The Swim for Life project is implemented in Dong Hoi city and Quan Hau district, providing equipment and technical support in safe swimming skills for children.

The Golden West Humanitarian Foundation is recruiting a Bookkeeper for the Vietnam project office in Hanoi.

Job Description

Bookkeeper must be able to maintain all financial records at the exacting standards of the US State Department. Bookkeeper will be responsible for all financial transactions for the office, as well local payroll reporting. Globally, the Bookkeeper will work under the supervision of the Controller and will be expected to comply with all regulations set forth by Headquarters. Locally, the Bookkeeper will work under the direct supervision of the Country Director, and will be expected to confer often with the Senior Accounting Manager Asia Pacific.

Duties and Responsibilities

  • Record all financial transactions for the region into the companies accounting software (NetSuite)
  • Issue cash advances and per diem payments
  • Payment of vendor invoices
  • Maintain a petty cash drawer
  • Maintain a physical petty cash ledger
  • Process bank deposits and interbank transfers
  • Make local payroll payments and deposits, file all required payroll reports
  • Monthly reconciliation of the petty cash drawers, all bank accounts, and monthly advances
  • Filing and maintaining the office forms required for cash advances and cash receipts
  • Scanning and uploading all receipts, office forms, and reconciliations to Google Drive
  • Running monthly reports on grants for program managers
  • Running monthly reports on office expenses for Country Director
  • Confer often with program managers and use budgets and HR guidance to appropriately classify expenses to programs
  • Comply immediately with any request made by HQ during annual audits
  • Make sure that all purchases are made in accordance with the procurement protocol laid out by HQ
  • Create projections for future cash requirements to be submitted to HQ on a monthly basis
  • Retain physical copies of all financial documents in an organized manner

Skills and Qualifications

  • Accounting experience (3 - 5 years)
  • QuickBooks or NetSuite experience
  • B.S. Accounting highly preferred
  • Google Drive experience or experience with similar online storage software
  • Payroll experience
  • Nonprofit or NGO experience preferred
  • Fluent written and spoken English and Vietnamese
