PSI/Vietnam currently seeks qualified & high motivated individuals to work as Administration Officer with our dynamic, results-oriented team

This position will be the full-time, 02-year contract with possible extension and will report to the HR/Admin Manager, to be based in Hanoi

Position summary: The Administration Officer is responsible for ensuring the effective and professional administrative function to support program implementation and office operations through providing professional administrative and HR supports as per the organization’s needs. In addition to, the job incumbent - under the guidance of HR/Adm Manager- will handle various assignments in support of PSI’s mission, partnerships and/or internal operation activities.

Key responsibilities include but not limited to:

  • Ensure the professional reception by handling calls, receiving visitors, overseeing tidy and well-organized reception and conference room areas, pantry/storage, etc.
  • Provide on-time effective travel and logistics support for staff members and/or visitors (e.g. visa, air-ticket booking, hotel reservation, etc.) – when required and appropriate while ensure full compliance with PSI’s travel and procurement policies.
  • Monitor the  use of office transportation including rental vehicle (if applicable) and taxi utilization e.g. regularly monitoring receipts/mileage records, checking monthly expense reports etc. Ensure the well-prepared and high accuracy monthly documentation set before submitting to Finance team for payments
  • Manage assets at PSI office and conduct conciliation with Finance team on a quarterly basis.
  • Be in charge of warehouse management and reporting:
    • Managing warehouse and complete warehouse reports to ensure full compliance with PSI Warehouse Manual
    • Serving as focal point for warehouse routine works, coordinate with Warehouse Keeper (when appropriate) on warehouse management
  • Work closely with IT consultant to monitor the use of PSI’s portable equipment e.g. tablets, laptops. Provide monthly update/report to supervisor
  • Support HR/Adm Manager to secure timely approval from relevant governmental agencies for PSI’s events/workshops
  • Work closely with supervisor to organize internal HR projects e.g. staff meeting, building capacity & social activities
  • Support HR/Adm Manager in recruitment process – when required and appropriate
  • Work closely with supervisor to ensure IT system  works effectively operation Provide as second back-up IT as appropriate.

Selection criteria

  • University Degree in related social field
  • At least 3 year working experience in Administrative; and be familiar with HR professional in development sector – an advantage
  • Fluently in English (4 skills), proven ability to effectively communicate and coordinate at all levels – a must
  • Carefulness, details-oriented and demonstrated well-organized skills – a must
  • Related experience in an international development organization is desirable
  • Proficiency in MS Office, HR software and IT knowledgeable – an advantage
  • Can start working immediately  – an advantage
