Administrative Officer cum Translator

The Health Care Support to the Poor of The Northern Uplands and Central Highlands (HEMA) is a European Commission funded project implemented by the Ministry of Health for the period of 2006 – 2012. The overall objective is to improve the health status of the poor in Lai Chau, Dien Bien, Son La, Kon Tum and Gia Lai provinces through improved health services.  

HEMA Project needs to recruite an administrative officer cum translator working full time at Central Project Management Unit in Hanoi.

Main responsibilities:
- Translate/draft a variety of routine correspondence and proofreads materials in English using proper grammar, punctuation, and style;
- Interpret from Vietnamese into English and vice versa for project events such as meetings, trainings, workshops, etc.;
- Incorporate agreed comments into documents, making full use of shared drives and software capabilities;
- Use computer skills to produce complex text, reports, figures, graphs, etc., according to standard project formats and distribution;
- Coordinate schedules taking priorities into account, monitor changes, and communicate the information to appropriate project staff and officials outside the project;
- Maintain current distribution lists, phone/address lists of project contacts;
- Prepare logistical planning and arrangement for various events, e.g. conferences, workshops, training courses, study tours, field trips, etc. This includes visa, transportation, hotel bookings for project staff, consultants and invited guests;
- Assist project staff in determining appropriate administrative policies and procedures to be followed. Participate in discussions of new or revised administrative procedures and practice and assess the impact of changes on office administrative procedures;
Assist in other tasks as required by the Project Director.

Qualifications
- University degree in English, business administration or related fields;
- Have at least 3 years of work experiences in relevant position such as secretary, administration assistance in ODA projects or international organizations;
- Good computer skills and experience, especially in MS Office Excel and Word, PowerPoint, Internet;
- Fluency in English language, in addition to a native command of Vietnamese, with excellent communication skills both verbally and in writing, is including proven skills in report-writing.
