Administrative Assistant in Operations

Applications are invited from suitably qualified Vietnamese Nationals to fill the following vacancy:

Post Title        : Administrative Assistant in Operations
Location        : Hanoi

Summary of the Post:
Under direct supervision of the Chief of Operations, provides secretarial assistance and administrative support to Operations section.

Major duties and responsibilities
1. Prepares correspondence for supervisor’s signature, checking enclosures and addresses. Receives and screens correspondence and attaches necessary background information. Maintains a follow-up system for all outgoing correspondence, faxes and brings up on due dates for supervisors attention.  
2. Provides necessary assistance to the five units in the section upon the request from the supervisor.  
3. Maintains office records, various files on various subjects, prompt filing of incoming/outgoing correspondence including filing of Exdirs, Admin. Instructions, Information circulars, etc for easy retrieval.
4. Arrange travel and prepare travel authorization for staff charged against Support Budget in the Operations section.
5. Types a wide variety of materials from drafts and printed documents. Drafts correspondence on routine matters. Proofreads for correctness.
6. Arranges appointments for supervisor, receives visitors, places and screens telephone calls, responds to routine requests for information. Assists in making travel arrangements for supervisor.  
7. Takes notes at meetings, as required. Translates, interprets and takes notes at meeting as and when required.
8. Provide logistics arrangement for trainings and meetings under Support Budget.
9. Performs other duties, as required.

Qualifications:
- Good education background. Additional training in administrative/ human resources field is an advantage
- Strong and proven secretarial skill with at least three years of experience.
- Ability to work closely and harmoniously with a team
- Good organizational and communication skills, highly disciplined and responsible
- Fluency in English and Vietnamese required.
- Computer skills, including internet navigation, and various office applications.
- Demonstrated ability to work in a multicultural environment, and establish harmonious and effective working relationships, both within and outside the organization.
