Project Assistant

The Woolcock Institute is lung health research organisation, based at Sydney University, Australia (http://www.woolcock.org.au/). The Institute has operated in Vietnam since 2009, and is undertaking large and important operational and epidemiological research projects in collaboration with the National Tuberculosis Program in 9 Provinces, including Ha Noi and Ho Chi Minh City. Research in Vietnam currently focuses on tuberculosis but we anticipate that it will expand into other areas including programmatic management of chronic lung disease (asthma and COPD), air pollution research and preventive interventions that are relevant to lung health. The Woolcock also runs training in epidemiological and operational research methods for Vietnamese doctors and public health workers.

The Woolcock Institute is undertaking a five year study of community-based screening of tuberculosis in Ca Mau Province. This study will run from 2013 to 2018. We are looking for a motivated and skilled people to work with our organization in implementing this major project.

Role:
The Project Assistant is responsible for overview, carrying out data management, data quality of research projects and follow up the TB patients.

Location: Hanoi

Main duties and Responsibilities:

Management of partner’s contract and procurement

  • Draft contract, keep filling of all signed contracts
  • Collect invoices and supporting documents
  • Prepare payments in a timely manner
  • Update spreadsheet that manages all contracts
  • Assist in procurement for partner contracts

Assist in data management

  • Work through the database to identify risks related to screening and lab activities
  • Perform and document procedures for data preparation including data cleaning, standardization and analysis
  • Oversee data management work performed by project staffs and partners
  • Ensure data system is operational
  • Troubleshoot data submission errors and data error issues
  • Ensure data management procedures and projects have set timelines and meet established deadlines

Provide distance supervision

  • Conduct phone calls to 5% of project participants who are selected randomly to check quality of collected data
  • Conduct phone calls to participants who are newly enumerated and participants who are recorded as participated in the previous year but not available in the year after
  • Check quality of data following project SOP

Send SMS to participants

  • Daily track and send messages on sputum test result to project participants
  • Manage contract with SMS service provider

Assist in preparation of project and activity report

  • Produce daily, weekly, monthly, annual data reports
  • Assist in defining and/or creating data listings, summary table validation, data specifications and/or process data transfers in preparation for statistical review and/or data management audit
  • In emergency case, manage field team for short period to carry out data collection.
  • Report to the Data Manager and the Trial Coordinator without delay any major problems

Key attributes / Selection criteria:

  • University degree in public health or related field, preferable having a master degree
  • Preferably at least 5 years of experience in medical research, data management for research projects.
  • Working knowledge of medical research database applications
  • Highly motivated, willing to learn, good team work, service-oriented and able to work under high pressure and within a limited time frame
  • Professional use of personal computer utilizing word processing, spreadsheet software programs
  • Applicable knowledge working with statistic databases such as SAS, STATA, SPSS etc.
  • Excellent communication skills
  • Excellent English (written and spoken) as preference
