1. Context:
ActionAid International Vietnam (AAV) is going to move Hanoi office to a new place. The task is supposed to be completed by 31 March 2015.
To fill the manning gap of Administration Function from 15th January to 15th April 2015 to support AAV to move its office from the present to a new place, a full time Administrative Support Intern is required to ensure the smooth operation of the new office.
2. Scope of work
The consultant will take basic responsibilities for Hanoi Office moving and support Administration Function with other Admin task.
The key responsibilities are as follow:
2.1 Furniture fitting out
- Being in charge of supervising furniture fitting out process to ensure its plan on time and under the contract terms signed
- Monitoring the quality, quantity and responsible technical execution of the items/equipments as well as the quality/quantity of the construction
- Being a focus person working directly with the VinaFor Building Owner to solve all the problems arising in the field on the basis of the guidance and agreement of AAV
- Coordinating the tasks with the designer for any adjustment if it is requested by AAV
- Carrying out hand over from the tender in both quality and volume of construction
2.2 Office moving
- Being in charge of finding out 3 suppliers for relocation office for the quotations and moving plan at supervision
- Recommending the best supplier for the task and make the contract done
- Developing moving plan and coordinating with all colleagues for smooth and on-time implementation
2.3 Settling payment
- All the payment for related services are well processed within the timeline
2.4 Administration work
- Other logistic support as required
3. Period
From 15th January to 15th April 2014
4 Expected results:
- The office fitting out is completed with good quality in time frame
- Office moving is properly done on time
- Proper support on Administrative logistics provided to all departments, functions and AAV’s activities to ensure the smooth running of the office
5. Qualification requirement
- Good understanding on furniture design and fitting out work
- Qualification in Administration management or relevant field
- At least 1 year of working in the similar position or relevant fields
6. Monitoring and evaluation
- Will be inducted and coached by the Administrator
- Will be directly supervised by Administrator
7. Budget
- The Intern will be paid with the rate of 600.000VND-700.000VND/day (based on actual working day) depends on his/ her qualification and experiences.
- The rate includes PIT and monthly paid to consultant
- All the cost will be covered by Admin department budget – ASC cost
