Temporary Full-time Admin/Program Assistant

Summary

East Meets West, a Program of Thrive Networks, is seeking a temporary full-time Admin/Program Assistant who will be responsible for a variety of administrative support duties to assist the marketing communications and program teams in East Meets West’s Ho Chi Minh City office.

Tasks/Responsibilities:   

Office Administration:

  • Prepare correspondence, reports, and presentations to local partners, donors or other related offices or agencies in relation to EMW HCMC office operations.
  • Prepare monthly financial report for the administration and finance department in Danang.
  • Handle office expenses and petty cash of HCMC office under the approval of the Regional Communications Manager.
  • Manage office equipment and infrastructure to ensure a professional well-running office.
  • Handle the expenses of other programs when relevant to activities organized for Ho Chi Minh City, under approval of program budget owner.

Oral Healthcare and Operation Healthy Heart Program Activities:

  • Provide interpretation and translation for program activities.
  • Liaise with local partners such as Department of Education and Training, Department of Health, etc. to secure permissions for the implementation of program activities.
  • Support in the monitoring and evaluation efforts of the programs.
  • Prepare monthly, quarterly reports and others upon request.
  • Plan and arrange visits to the field, including field research, meetings with partners, monitoring trips, or donor visits.

Marketing and Communications Activities:

  • Support the marketing communications team in the execution of communication activities, including disseminating press releases or event information, confirming attendance of participants as needed, and other administrative or logistical tasks as needed.

Team and organizational building and development

  • Actively plan and map out strategic opportunities throughout the year for teambuilding and staff training for HCMC staff under the supervision of the Communications Manager
  • Promote EMW organizational culture and code of behaviors among HCMC staff.  Work behavior should reflect the organizational culture.
  • Be willing to provide support to team members and other EMW departments/teams as necessary.
  • Provide timely, relevant and accurate background information in meetings and informal discussions. 

Job Specifications/Qualifications:

  • University degree, in English, Accounting, Health, Education and/or related studies. 
  • Minimum of 1-3 years relevant work experience in administration, accounting, event management, or social and community development. 
  • Strong secretarial and office management skills
  • Excellent time management and problem-solving skills.
  • Advanced proficiency in MS Office Suite. 
  • Possess professional attitude, appearance, and diligence. 
  • Strong communication and interpersonal skills.
  • Proficiency with written and verbal communication skills in English and Vietnamese.
  • Able to work independently as well as work in a team.
  • Able to work under pressure and deadline
  • Be willing to occasionally travel for work, as required.

The successful candidate will be signed the employment contract with a duration of 8 months starting from May 2015 to December 2015. After the contract period is completed, we will consider transitioning the position to a long term position.
