I.            Introduction

SNV Vietnam is currently requesting quotations from suitably qualified marketing businesses for the design and implementation of a Sales Promotion Campaign to promote agriculture products produced by Vietnamese inclusive agribusinesses.

II.          Background

SNV (www.snvworld.org) is a not-for-profit international development organization. Founded in the Netherlands 50 years ago, we have built a long-term, local presence in 38 of the poorest countries in Asia, Africa and Latin America. Our global team of local and international advisors work with local partners to equip communities, businesses and organizations with the tools, knowledge and connections they need to increase their incomes and gain access to basic services – empowering them to break the cycle of poverty and guide their own development.

SNV has been working in Vietnam since 1995. Using market based approaches, SNV is committed to reducing poverty by catalysing environmentally sustainable solutions for the poor in agriculture, energy, water & sanitation, and REDD+.

In Vietnam, SNV manages the Inclusive Business Accelerator program (IBA, https://iba.ventures/). Inclusive business is a strategic, innovative, commercially- viable business initiative, which unlocks entrepreneurial opportunities for low-income markets to engage in the value chain. Inclusive business creates shared value for the businesses, low-income markets and the environment.

IBA Vietnam is partnering with agribusiness partners, key modern retailers and other relevant stakeholders to actively promote responsible agricultural inclusive business and products for the express purpose of supporting smaller producers/ traders entering MT channel, adding more value to products, improving higher-income opportunity and generating core business benefits for those market players while supporting and improving the lives of low income people. To raise consumer awareness of domestic products, simultaneously encouraging trial and adoption and increasing demand of those products of inclusive agribusinesses, IBA Vietnam will pilot a 3A (Attraction, Attention, Adoption) approach – via a Sales Promotion Campaign at key MT channel in Hanoi and Ho Chi Minh city for locally produced, good quality fresh produces and agri-products.

The Sales Promotion Campaign will be executed for at least five (5) inclusive agribusinesses in Hanoi and/or Ho Chi Minh city for maximum 3 consecutive months in selected POSs.

  • To set up, prepare logistics and operationalize promotion activities (sampling, sales assistant, direct sales, customer purchasing support) at POSs within the selected MT channels of the Sales Promotion Campaign and other identified commercially viable points as will be agreed with IBA team that enhance the branding, marketing and selling of the sale products of IBA private clients.
  • To perform other necessary services related to registration and contract signing with selected MT channels of the Sales Promotion Campaign (including sampling product storing and handling) of such a magnitude for the achievement of the overall branding, marketing and sales objective of the project
  • To display materials at POSs as requested

The service provider will be expected to adhere to the following:

  • IBA/SNV reserves the right to approve all promotion activities and services provided by the service provider
  • The successful contractor must ensure that all relevant documentation (Receipts and Invoices) are presented to SNV in good condition and time without alteration to facilitate timely payment
  • SNV reserves the right to request the successful contractor and their staff to undergo a security and supplier vetting process
  • In-store promotion activities will be provided as and when requested by SNV
  • SNV will not be held responsible in any way for the damages, losses, theft of equipment or any valuable of the contractor or injury of his/her employees while in the execution of their duties
  • The contract will be entered into subject to the signing of the Service Level Agreement by both parties
  • The contractor is fully responsible for worker compensation insurance, professional indemnity insurance and pulic liability insurance for the duration of the campaign.

4.    Service fee

Contractors are to provide detailed quotation of costs broken into categories of:

  • Promotion campaign preparation and management (Promotion staff - PG recruiting, PG management, PG and sampling supervision)
  • Marketing material design, printing and production
  • Sampling tools, logistics (transportation, registration with retailers) and any other additional costs

5.    Output

  • Sampling at MT channel during weekend (from 16:00 to 20:00 on Friday; from 10:00 to 20:00 on Sat and Sun, 2 PGs/working shift, 1 supervisor for every 2 POSs): 100 - 200 days
  • Marketing material display at POSs and trade marketing supervision: 10 days
  • Sales assistant at display area (4 hours/day on Monday - Friday, and 8 hours/day on Saturday and Sunday): 100 days
  • Successfully registration for the sampling and other promotion activities with MT channel
  • Quality and satisfactory in-store promotion activities

Note: The number of PG and Supervisor per shift could be different depending on number of brands/products to be promoted. In this case, necessary written agreement will be made in advance between the two parties.

6.    Methodology

  • The preferred service provider shall be contacted by SNV Procurement team with a Scope of Work or Terms of Reference to request for provision of the specified in-store promotion services
  • The Service provider shall confirm and provide the requested services upon signing of a Purchase Order from SNV

V.           Qualifications, skills and experience required:

  • At least five (5) years of experience in the fields of branding, marketing, and sales events
  • At least 2 similar scale promotion projects
  • Have a well-resourced team that has capacity to design and come up with the requisite marketing materials that can deliver stunning visuals and strong brand that reaches target market at the points of sales

VI.         Assessment of submission

All quotations will be considered, and in doing so will take into account:

  • Appropriate qualifications and experience to deliver the promotion campaign
  • Previous marketing campaign experience
  • Capacity to meet the project objectives
  • Value for money
