PATH seeks an Office Finance and Administrative Associate to provide financial and administrative support to the office. Under the guidance, supervision and direction of the Senior Finance Officer, the Finance and Administrative Associate’s specific responsibilities include:

Office expense Monitoring and Payment

  • Maintain and reconcile office petty cash and replenish as needed;
  • Prepare payments for rental, facilities, travel expenses and other expenses;
  • Maintain a tracking system to monitor travel expenses, workshop/meeting expenses and other expenses (such as asset, unused ticket, VAT…);
  • Ensure that all office accounts (e.g. telephone, internet, IT and equipment maintenance and vendors) are paid in an appropriate and timely manner;
  • Assist Senior Finance Officer (Snr.FO) in preparation of staff payroll, tax and benefits. Prepare payments for salary, taxes and insurances for staff and consultants;
  • Act as key person to liaise with Social Insurance Organization, prepare paperwork and complete necessary procedures of registration/notification for new and departure staff, claim for staff benefit from insurance organizations;
  • Assist with completing necessary documentation and procedures for value added tax (VAT) report and refund for relevant projects as donor’s requirements.

Banking transactions

  • Liaise with the bank for cash withdrawal, bank transfers and other bank related transaction issues;
  • Receive cash refund, prepares bank deposit and deposit general journal in the computerized system;
  • Coordinate with the bank on banking issues such as unidentified banking transactions, bank statement follow-up.

Financial documentation and filling

  • Complete documentation of financial transactions in compliance with PATH and donor regulations prior to inputting into the accounting system;
  • Input financial and accounting data into the computerized accounting system and create payment vouchers for approvals;
  • Manage filing of both hard and soft copies of financial documents.

Field Office Financial Report (FOFR) support

  • Scan the completed vouchers and finance related documents for monthly  FOFR timely submission;
  • Assist the Snr.FO with the monthly FOFR preparation as requested;
  • Serve as back up support to the Snr.FO.

Required Skills

  • University graduate with finance/accounting background preferred;
  • Good computer skills in Microsoft Word and Excel, skills in Quickbooks accounting software as a plus;
  • Well-organized and attention to details skills;
  • Good communication skills;
  • Proven interpersonal skills and ability to work effectively in a team;
  • Excellent Vietnamese and good English skills.

Required Experience

  • Minimum of two years relevant work experience;
  • Experience working with INGOs a plus.
