ADMINISTRATIVE ASSISTANT FOR HCM BASED OFFICE AT PATH VIETNAM

The Vietnam country office is committed to responding to a broad range of community health needs in Vietnam. This includes reproductive, maternal, and child health, TB, HIV, vaccines and immunization, emerging and epidemic diseases, and health technologies. To achieve impact, PATH Vietnam works across the public and private sectors and focuses on sustainable, system-level changes.

PATH is seeking a HCMC based administrative assistant to support administrative work for project and office in HCMC office.

Duties and Responsibilities

  • Provide logistical support and liaise with partners to arrange meetings, trainings, workshops, field trips and other travels;
  • Provide administrative support for securing all necessary in-country approvals;
  • Coordinate with administrative team to arrange travels for project staff, consultants and visitors;
  • Assist in ordering equipment and supplies for project sites;
  • Provide support to Ho Chi Minh City-based program staff in the implementation and monitoring of project activities;
  • Take notes at meetings and workshops and prepare/distribute timely minutes;
  • Organize, assemble, and distribute reports, communication and advocacy materials, and other documents;
  • Assist in interpretation and translation of project documents and materials, and formatting of documents and presentations;
  • Provide support to team leaders and program staff in the implementation and monitoring of project activities;
  • Provide support to financial team in financial management;
  • Assist Project Director (CH2 project) and (Chief of Party/Deputy Chief of Party) in setting up team meetings and following up team action items/assignments;
  • Telephone handling, and reception duties;
  • Liaise with landlord on utilities, maintenance and office safety & security;
  • Track staff leaves and travels;
  • Manage petty cash and supervise office cleaner;
  • Provide other administrative support as required.

Required Skills and Experiences

  • Bachelor degree in Finance, Administration, Social Science , Human Resources Management or related field
  • Having at least 3 years of progressively responsible experience in administration and finance assistance or execution work
  • Experience in coordinating projects.
  • Excellent calendar management skills, including the coordination of complex executive meetings
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
  • Experience scheduling travel arrangements and schedule for management
  • Support experience in a professional services and project implementation of NGOs,
  • Assist with preparation of presentation materials
  • Prioritize and manage multiple projects and tasks simultaneously, and follow through on issues in a timely manner
