Office Manager

Summary: Urban Solutions, a Dutch Consultancy (www.urban-solutions.nl) firm based in the Netherlands with a Representative office in Hanoi and Hong Kong, provides advisory services and assistance for capacity building programmes in the urban sector in developing countries and transitional economies. They specialise in three key areas:     

- Inner City Revitalisation/Urban Cultural Heritage (ICR)
- Housing Policy & Finance (HP&F)
- Sustainable Urban Management (SUM)

They are now looking for an office manager to work in our office in Hanoi.

Qualifications:
Minimum of 2 years experience working as an office manager.
Entrepreneurial
Good computer literacy.
Perfect English language proficiency (speaking, reading and writing)
Open minded and flexible and willing to work in an informal environment
Precise and organized

Main Tasks:
1. Manage the database and filing system of all proper documentation and contacts.
2 .Be the contact point of US for all correspondence with associates, partners and clients.
3. Prepare a quarterly news letter for Urban Solutions, update the US website
4. Prepare and update “the weekly” which is the main tool of communication between the various staff members of Urban Solutions.
5. Arrange all administrative, logistic activities and purchase (stationary and provisions) for the office and for all the projects.
6. Assist expatriate staff of Urban Solutions when ever they come to Vietnam
7. Translate documents and join US staff when meeting Vietnamese officials
8. Join marketing activities for the course delivered by Urban Solutions.
9. Prepare expressions of interest and assist in preparing bidding/tender documents
