Admin Assistant and Bookkeeper

Position: Admin Assistant and Bookkeeper (based in FRC/NPI office)

WWO’s vision is to transform the lives of orphaned children around the world. WWO is a U.S.-based NGO that provides medical and psychosocial care and treatment, and educational and arts programs for orphaned and vulnerable children, including those living with HIV/AIDS.  In Vietnam, WWO currently works with children in orphanages at Tam Binh 2 in HCMC, Vung Tau, and Social Labor Training Center #2 in Ba Vi.  WWO staff physicians support physicians and nurses at the orphanages in clinical management for palliative care and ART treatment for children, including treatment of opportunistic infections.  WWO brings experienced doctors with extensive pediatrics HIV/AIDS treatment experience to mentor health professionals in Vietnam.  WWO provides psychosocial services to help children in their development, which aim to address the developmental and psychological effects of HIV and institutional care.  They have programs to help integrate HIV infected and affected children into the community and public school, and to reduce stigma and discrimination against people living with HIV/AIDS.  WWO is expanding its programs for children, capacity building programs for caretakers and social workers, and support of networks to support children and families.

I. KEY RESPONSIBILITY

1. Admin Assistance:
- Welcome visitors to the FRC and to answer all incoming calls
- Ensure office supplies are fully stocked at all times
- Manage the relationship with external suppliers so that WWO receives the most cost-effective prices, whilst ensuring the required level of quality
- Handle all outgoing post (letters and parcels)
- Prepare for NPI team meetings (prepare and file minutes & agenda)
- Monitor and maintain NPI office equipment and supply inventory
- Assist project activities as needed.

2. Book keeping:
- Coordinate the day-to-day FRC/NPI office activities in accounting system
- Receive advances from WWO, keep records and provide a regular reconciliation of cash.
- Prepare contract, collect quotation, make purchase order and pay for daily expenses (such as stationery, OVC support goods, NPI office bills)
- Keep all receipts and make payment vouchers.
- Backup documentation for each transaction before attaching to report
- Prepare request forms for relevant needs and expense clearances.
- Prepare travel advance and travel reimbursement for NPI staff
- Request and receive approval from Senior Project Officer or Program Manager to all payments to be transacted.
- Submit monthly reports and money requests Senior Project Officer or Program Manager for their signature without delay to WWO.
- Support partners (ULSA2, An Giang) in accounting and reporting; remind and help partners to report on time.
- Translate financial documents from English into Vietnamese and vice versa.

II. REQUIRED QUALIFICATION
- College, university degree or certificates related to the fields.
- At least 1 year of experience in the same position.
- Good command of both written and spoken English
- Good organisational skills and attention to detail
- Ability to perform well with minimal supervision
- Advanced skills in MS Excel, and proficiency in Word
- Good interpersonal skills and a spirit of achieving excellence and team building
- Excellent attitude with high degree of flexibility
- Capably of learning quickly and adapting to ever changing situations
